Description

Waynflete School, an independent day school serving 560 students in Portland, ME, is seeking an Accountant to join its Business Office.  This full-time, 12-month position is responsible for working with parents, faculty and staff to perform general accounting functions and provide support for HR projects.

Key Responsibilities:

  • Monitor cash balances and maintain the daily cash log for all bank accounts.

  • Oversee accounts payable transactions and follow up with Budget Managers for all supporting documentation required to process payments.

  • Serve as the primary contact for purchasing; support faculty and staff with maintaining accounts with third-party vendors such as Amazon, WB Mason, and other organizations

  • Prepare annual 1099 forms.

  • Monthly posting of Cafe and Gear Store sales transactions.

  • Serve as primary contact for Student Billing; oversee accuracy of the billing process and system, and work with families to address billing questions.

  • Monthly posting of Tuition and Auxiliary revenue and payments as well as other charges and credits in Student Billing.

  • Perform and maintain the monthly review and reconciliation of all student billing and vendor liability accounts.

  • Monthly posting of Payroll journal entries.  

  • Process gift batches with the Development Team on a weekly basis.

  • Collaborate with the Director of Enrichment to reconcile all summer and auxiliary programs' income and expenses.

  • Ensure proper financial, accounting, and internal control policies are followed and in place.

  • Respectfully engage with a diverse community and ensure that diversity, equity, and inclusion are emphasized as a core value of the School.

  • Support planning and organization of the Business Office including maintaining efficient record keeping of vendor contracts, tax and regulatory filings, and other areas as requested.

  • Provide supporting documentation for the annual audit and assist with various projects and reporting requirements for the annual audit. 

  • Serve as a welcoming presence in the Business Office and be available to greet visitors and answer the phone, as needed.

  • As requested and as time permits, support the Human Resources Coordinator with HR tasks.

Qualifications: 

  • Bachelor’s Degree in business or accounting required

  • Demonstrated proficiency with Excel as well as knowledge of Blackbaud or other accounting software

  • Knowledge of non-profit accounting is preferred

  • Strong communication and organizational skills

  • Adept at mult-tasking and completing projects in a timely and efficient manner

  • Ability to handle confidential information in a professional manner
